Terms and Conditions

RotaHQ is a trading name of Htet Min Aung, a sole trader based in the United Kingdom.

These terms are a legal agreement between us and the business using RotaHQ. By creating an account or using the service, you agree to them.

RotaHQ is a web-based workforce management platform for restaurants and hospitality businesses. It provides scheduling, attendance tracking, payroll, leave management and WhatsApp notifications.

• Subscriptions are monthly and billed in advance.
• Plans: Starter £19/month · Pro £49/month · Business £149/month.
• Prices are shown in GBP and exclude VAT (VAT will be added if applicable).
• Payment is processed securely via Stripe.
• Subscriptions renew automatically each month unless cancelled.
• We do not give refunds for partial months.
• 30 days notice is required to cancel a subscription.

• Where a free trial is offered, it lasts 14 days.
• No credit card is required during the trial.
• After the trial, a subscription starts automatically only if you have provided payment details.
• We reserve the right to end a trial at any time.

• You own all data you enter into RotaHQ.
• We do not sell your data to third parties.
• If you cancel, your data stays available for export for 30 days and is then deleted.
• Full details are in our Privacy Policy.

• We aim for 99% uptime, but we cannot guarantee it.
• We are not liable for losses caused by system downtime.
• We are not liable for errors in payroll calculations — managers must verify all payroll figures before using them.
• Our maximum liability to you is limited to the amount you paid us in the previous 3 months.

• You are responsible for the accuracy of the data you enter (hours, pay rates, staff details).
• You must not share your login credentials with anyone.
• You must not use RotaHQ for illegal purposes.
• You are responsible for complying with employment law in your jurisdiction.

• The RotaHQ software, design and content belong to Htet Min Aung.
• You may not copy, resell or redistribute any part of the platform.
• Your data remains yours at all times.

• We may suspend accounts that violate these terms, giving 24 hours notice.
• We may terminate accounts with 30 days notice for any reason.
• You may cancel your account at any time.

• These terms are governed by the laws of England and Wales.
• Any disputes will be resolved in the courts of England and Wales.

• We may update these terms at any time.
• We will notify users by email 30 days before significant changes take effect.
• Continued use of RotaHQ after a change means you accept the updated terms.
